LED Screens Making All The Difference

A Growerks story from the exhibition floor, plus everything we have learned about choosing the right LED screen for your event.

A Growerks mobile LED video wall during setup, a few hours before doors opened.

The hall was still half-built when we rolled the wall in. Forklifts were beeping, booth crews were unpacking plinths and acrylic chairs, and the lighting was the flat, unforgiving kind you only get in an empty exhibition hall. Then we powered up the screen, and a sunrise over a beach filled the whole booth.

That moment is why we do this. A blank booth turns into a destination the second a bright, sharp LED screen comes on. People stop walking, they look, and they come closer. This post shares what goes into getting that moment right, so you can book the right screen for your own event.

5 Things to Check Before You Book an LED Screen

These are the questions we walk every client through. Ask them of any rental provider, and you will avoid most event-day surprises.

1. Pixel Pitch: How Close Will People Stand?

Pixel pitch (the “P” number) is the distance between LEDs in millimetres. The smaller the number, the sharper the image up close. A simple rule: the minimum comfortable viewing distance in metres is roughly the pixel pitch number.

Viewing DistanceRecommended PitchTypical Use
Under 1.5mP1.25 to P1.5Lecterns, close-up product displays
1m to 3mP1.8 to P2.5LED posters, booth screens with text and QR codes
3m and beyondP2.5 and aboveLarge video walls, stage backdrops

If your screen will show text, prices or QR codes that guests scan, choose a finer pitch. Video looks good from further away; small text does not.

2. Content Playback: USB, Wireless or Cloud?

  • USB plug-and-play: Load your video or slides onto a thumb drive and it plays on loop. Simplest and most reliable for one-day events.
  • Wireless HDMI transmitter: Mirror a laptop to the screen without running cables across the floor. Ideal for live presentations and changing content during the event.
  • Cloud or network control: Useful for multi-day, multi-location campaigns where content changes remotely. Ask your provider whether this is included.

Growerks tip: Export your video at the screen’s native resolution. We will tell you the exact size when you book, so nothing looks stretched or blurry.

3. Logistics: What Is Actually Included?

Hidden costs usually sit here. Before confirming, make sure the quote clearly covers:

  • Two-way transport (delivery and collection)
  • Assembly, testing and content loading on site
  • A quick handover on how to switch content
  • Teardown after the event, including late-night venue load-out windows

4. Space and Power: Will It Fit Your Venue?

Measure the floor area and ceiling height, and check where the nearest power points are. Mobile video walls on wheeled bases need a firm, level floor and clear access through venue doors. If there is no power nearby, a battery-operated LED poster is often the easier option.

5. The Bigger Picture: One Screen or a Whole Setup?

A screen rarely works alone. Booths and event spaces look best when the display, furniture and activities are planned together. Booking them from one provider means a single delivery, one setup crew and one point of contact on the day.

Frequently Asked Questions

What is the difference between an LED video wall and an LED poster?

An LED video wall is built from multiple panels into one large screen, ideal for backdrops and booths. An LED poster is a single slim, freestanding display, ideal for entrances, signage and retail.

Which pixel pitch should I choose for an indoor event?

For guests standing 1 to 3 metres away, choose P1.8 to P2.5 so text and QR codes stay sharp. For very close viewing such as lecterns, P1.25 works best.

How do I load my content onto the screen?

You can play content from a USB drive or mirror a laptop wirelessly with an HDMI transmitter. Our crew will load and test your content during setup.

Can I use an LED poster where there is no power socket?

Yes. Growerks rents battery-operated LED posters that run without a nearby power point, ideal for walkways and outdoor areas.

Does Growerks handle delivery and setup?

Yes. We deliver, assemble, test, load your content and collect the display after your event.
